Summary:

The Administrative Assistant is responsible for providing administrative support to the overall operation of Nunatsiavut Construction Inc. (NCI). This position will work closely Nunatsiavut Construction Inc’s Project Accountant, on occasion the Administrative Assistant may be required to fill in on behalf of the Project Accountant.

Responsibilities:

  • Develop and maintain spreadsheets, diagrams, and process maps to document needs for projects.
  • Compile necessary source documents for accounting (invoices, purchase orders, receipts, etc.)
  • Effectively and accurately communicate relevant project information to the project team.
  • Maintain contract execution and project completion log.
  • Track contemplated project change orders and scope changes.
  • Provide information to the Project Manager and Construction Manager on the project statuses as required.
  • Provide Procurement support, including coordination of tender documentation, obtaining quotes, and preparing purchase orders for authorized signatures.
  • Obtain permits and licenses if required for projects, including monitoring and maintenance for quarry permits, land use permits, and other regulatory permits required for operations.
  • Establishes, manages, monitors, and maintains efficient and effective electronic and paper filing system in accordance with NGC/NCI policies, including coordinating the proper storage, identification, labelling of records and appropriate disposal practices are followed with policies and procedures.
  • General administrative duties including data entry to various project information logs.
  • Promote and monitor occupational health and safety culture within the organization, ensure adherence to all health and safety standards and report issues.
  • Assist with obtaining Standing Offer Agreements for project supplies and services.
  • Communicate ideas for improving processes with a positive constructive attitude.
  • Attend meetings as required by Manager to take and distribute meeting minutes.
  • Provide logistical support for stakeholder engagement and consultation including scheduling meetings, booking venues and hospitality, and arranging services as required.
  • Other duties to support the Construction Manager, Project Managers, and other staff as required.

Qualifications:

  • Diploma in Office Administration or Business Management with 1-3 years of experience, a combination of relevant education and/or experience will be considered.
  • Excellent communication skills – written and verbal.
  • Proficiency in using various computer software packages such as Microsoft Office, Excel, etc. and the ability to learn other software required for the role.

Assets:

  • Experience working in the construction industry.
  • Experience working in remote locations.
  • Ability to read, analyzes, and interprets general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence in a clear, concise, and understandable manner.
  • Ability to effectively present information and respond to questions from Community Leaders and Groups, Managers, Clients, Customers, and the General Public.
